This facility is for training providers with accreditation who are approved to offer qualifications, or those offering Foundation Awards.

An essential part of your approval with PD:Approval is the registration of your learners and the recording of their status as they progress through their training with you.

Please note: Only approved training providers can register learners. Learners submitted by training providers without approval will not be processed, and it could affect their on-going approval application or result in termination of the contract we have with them.

STAGE 1: Learner Registration

Learners must be registered with PD:Approval at the latest within seven days of the start of the training programme, ie the Course Start Date you will provide when registering. Failure to register learners within the time frame may lead to a sanction from PD:Approval and could affect your on-going accreditation.

When they complete their training, you must amend the record you have created through this page for each learner using the Update Status button below with either Pass, Refer or Withdrawn.

A payment of £40 per learner is required which covers the registration fee and certification costs; it also provides protection to the learner for their certification should the need arise. Additional costs will be added if PD:Approval has provided the teaching, learning and assessment materials. Registration and certification fees require Withholding Tax (WT).

Please note: You must gain permission from your learners on enrolment to pass their information to us, which will be used solely for the purposes of recording their assessment status and issuing a Certificate of Achievement for those who have passed.

Before completing the form and for a successful registration, you need to have the following information for each learner:

  • Approved Training Provider (ATP) Code (the code given to you at Interim Approval)
  • First name (the learner's legal first name)
  • Middle name/s (the learner's legal middle name, if applicable)
  • Last name (the learner's legal surname)
  • Date of birth (the learner's legal birth certificate date)
  • Email address (for access to the StudyHub)
  • Unique Learner Number (the unique number you have allocated to the learner and is required for security and identification purposes)
  • Course Code (the unique code for the course the learner is on)
  • Course Start Date (the date the course started)
  • Qualification (choose the qualification to be undertaken).
  • Full/RPL (whether the learner completed the full qualification or undertook the Recognition of Prior Learning process)
Please ensure all fields are completed accurately on the learner registration form, especially the learner's first, middle and last name as these will be added to their certificate of achievement along with their unique learner number.

STAGE 2: Learner Status Update

Use the Learner Status button to update your learners' statuses as they study.

Click the link below and insert your ATP code. This will produce a list of your registered learners who have not yet either passed or been referred so that you can record their status to update our records. Use Control F to find a particular name.

All certificates come with a unique certificate number as well as a QR code to avoid fraudulent activity. Electronic certificates are issued each week for learners with a Pass status and where their registration fee has been paid. You will receive an email to let you know if certificates have been uploaded to your Dropbox to distribute to your learners.

Confidentiality

Your learners' details will be kept securely on a Customer Relationship Management (CRM) system with a two step verification process for access, and will not be shared. Records will continue to be stored until the learner informs us that they wish them to be removed, so that duplicate certificates can be provided on request. PD:Approval complies with all requirements for General Data Protection Regulations (GDPR) and is a member of the Information Commissioner's Office (IOC). All members of PD:Approval have signed a Code of Confidentiality.
